Policies

To make a reservation: a) Choose your vacation dates; b) Select lodging from website listing choices; c) Check availability and book online at www.treetopretreat.com  A valid MasterCard, Visa, Discover card or PayPal account is required to make your reservation. 

Twelve percent (12%) tax is added to your entire reservation fee (7% Indiana sales tax plus 5% Brown County innkeepers tax). Our scheduled rates are for occupancy by two persons. Effective 3-1-2024 there is a non-refundable charge of $35 per pet (only two of our units allow pets). A two-night minimum stay is required on weekends and holidays. We do not charge booking or cleaning fees.

Cash, money order, cashier’s check, Visa, PayPal, Discover and MasterCard are all accepted however a reservation via website or by telephone requires a valid credit card.

All funds must be paid in U.S. currency.

Cancellation of a confirmed reservation must be made by the Guest who booked the reservation, not a representative of that Guest. Reservations must be cancelled thirty (30) days or more prior to arrival to avoid any late charges, besides a $25 processing fee.

Reservations cancelled seven (7) days or more prior to arrival will receive the full rental amount back. 

Reservations cancelled less than seven (7) days prior to arrival will not receive a refund. 

NO-SHOWS will be charged the entire cost of the reservation.

The number of Guests occupying a property is limited to the number stated on the lease agreement. These limits are strictly enforced. The specified occupancy constitutes a breach in the lease agreement and will lead to termination of lease agreement.

Self Check-in time is 4 p.m. Each suite at Treetop Retreat LLC must be readied for occupancy within a very short time frame. In many cases,  units require maintenance repairs or additional cleaning time. An arrival time at 4 p.m. allows us to ensure that units are clean and ready for occupancy.

All check-ins occur at Treetop Retreat LLC at the address of: 304 Whippoorwill Lane, Nashville, IN 47448.

There is a self check-in box located next to our mailbox which will contain an envelop with instructions and keys. 

Check-out time is 11 a.m. Your cooperation in checking out promptly enables us to prepare the cabin for our next guests. You will be charged an hourly rate of $50 for each hour or fraction of an hour you occupy the premises after 11 a.m.

Guest will be responsible for any damages or theft. Please report any damage upon occurrence.

GUEST’S CREDIT CARD WILL BE USED FOR PAYMENT OF DAMAGES. Charges to Guest’s card may include, but are not limited to: damages over and above normal wear and tear, theft, excessive cleanup, unreturned keys, unauthorized late check-outs and unwarranted service calls.

If a fee is charged, a letter or email will be sent to the Guest explaining the reason.

To ensure homes are well maintained, cleaning and cross-inspection will occur after each departure by Treetop Retreat, LLC housekeeping. Guests are asked to:

a) Gather all trash and recycling and place it in the kitchen.

There are also large trash bins located next to the garage. Please replace the bungees/large bricks if you use these bins (we have a very athletic raccoon who likes to cause trouble!).

b) Wash and put away all dishes/pots/pans/silverware and wipe down counter tops in kitchens.

c) Ensure the home receives reasonable cleaning during your stay, i.e. vacuuming, sweeping, etc.; and

d)Leave furniture and other contents in original location and condition. When departing, leave A/C at 75 degrees/heat at 55 degrees.

Failure to comply could result in a charge to Guest’s credit card. Exit cleaning is automatically included in the flat rate paid by the guest. Please be courteous and help us keep our rates affordable!!

The Owner has furnished the unit with basic housekeeping and cooking equipment. Bed and bath linens, pillows and bedspreads are provided. Gas fireplaces will be in operation from Sept. 16 to May 14. Gas fireplaces will be turned off during the warm months.

Weather-related conditions, such as ice and snow, and power or water outages due to weather or other causes are not within our ability to control. We do not provide refunds in the event of such emergency conditions. Sorry! 

In the event a Guest is locked out of the home during the rental please call our phone number and leaving a message. A Treetop Retreat, LLC representative will meet the guest. There will be a $20 service charge ($30 if new key must be delivered). This fee is to be collected at the time service is rendered.

Pets are permitted ONLY WITH PRIOR APPROVAL in The Garden Suite and Abe’s Cabin.  Effective 3-1-2024 there is a non-refundable charge of $35 per pet.  Pets may not be left unattended in those units. No exceptions will be made. Violation of this policy will result in immediate eviction with no refunds. Additional fees may be charged to Guest’s credit card to cover cost of cleaning, spraying, etc. Indiana Laws with regard to service animals are followed

SMOKING IS NOT ALLOWED INSIDE ANY OF THE RENTAL UNITS. When smoking outside, please use ashtrays or sand buckets to put out cigarettes. IF THERE IS EVIDENCE OF SMOKING INSIDE THE UNIT, GUESTS WILL BE CHARGED A $250 FEE. This include smoking vapes, pipes, and any other devices. DO NOT SMOKE INDOORS.

Please remember you are coming to the country…bring sunscreen, bug repellent, etc. If you are allergic to insects or pollen, be sure to bring your antihistamine. In the early spring and fall, you may be greeted by Brown County ladybugs. They are harmless and in fact quite beneficial to the environment they were brought to the many locations in the United States to help with controlling other pests. These little bugs seem to love it here in Brown County and so you will probably see them during your visit.  

Be aware there are some critters around that can be bothersome and even dangerous, including wasps, ticks, spiders, skunks and snakes. Carefully watch your pets and small children near roads, hills, water and woods.

When hiking in surrounding parks and conservancies, please be aware that ticks are a growing presence in the Midwest. Please use repellent and plan to shower after spending time in the woods. 

Treetop Retreat, LLC loves repeat guests!

Current year guests have priority. Reservations may be made one year in advance. All normal reservation policies apply (see #1). Reservations for next year booked in the current year are subject to possible price increases.

Our maintenance department is on duty from 8 a.m. – 8 p.m., seven days a week. There is an after-hours emergency number in all units. Please make sure that if you are calling from a cell phone, there is clear reception. Leave a brief message and call back number. All calls will be returned, but only true emergencies will be handled after maintenance hours.

Each of the Treetop Retreat, LLC Brown County PREMISES are available exclusively for a quiet, peaceful and private getaway in beautiful natural surroundings. Therefore, parties or other similar or noticeable gatherings are only allowed with prior clearance from Treetop Retreat, LLC. Guest occupancy shall conclusively confirm each adult individual personal and contractual acceptance of the premises, requirements and responsibilities described in this Rental Agreement.

Guest shall conscientiously and prudently take good care of the premises during and related to Guest use and occupancy. This shall include Guest actively and effectively supervising, controlling and therefore having responsibility for all activities and conditions occurring on or related to the premises as directly or indirectly relevant to Guest’s use and occupancy. This shall specifically include, for one example, responsibility for safety as to fires in the fireplace and firepit.

Guest shall return the PREMISES to the Owner both clean and otherwise in the same condition as received by Guest at the beginning of Guest’s occupancy.

Guest therefore and hereby contractually assumes sole RESPONSIBILITY for, RELEASES and agrees to hold Owner HARMLESS AND/OR COMPENSATED, for any and all personal injury to anyone, or property damages to the PREMISES directly or indirectly arising from, caused by or related to Guest’s activities, occupancy, supervision or use of the PREMISES.

These GUEST duties and responsibilities shall be construed and applied in harmony and proportionally should the Owner’s direct and negligent conduct be an actual and effective contributing cause of any such harm or damages.
